Sample Agenda — Something for Every Team

Over the years, we have collected dozens and dozens of celebration stories from organizations around the globe. Some celebrate for a single day, others every day of the week. No matter what you choose, be sure to include festive decorations, at-your-desk puzzles and games, and lots of meaningful recognition.

This sample agenda will get you started:

Two to three weeks in advance. Distribute Save the Date Cards to everyone who will be celebrating. (These are available in the Downloads section of CSWeek.com.)

Monday. Host a kick-off breakfast. If your celebration includes team-based games and activities, make assignments now. Tie colored ribbon around Travel Mugs to indicate which team each person is on. Hand them out randomly to mix things up.

Tuesday. Play a team-building game like Minute to Win It, Find Your Perfect Match, or Count Off to encourage people to get to know each other while completing fun challenges. You’ll find these and many more team-building games in the Activities section of CSWeek.com. Award small prizes to everyone who participates.

Wednesday. Tackle stress with a Stress Relief Break. Dress down in PJs, and enjoy healthy snacks, fun fidgets, and practical stress reduction exercises. You’ll find easy to teach exercises in the Activities section of CSWeek.com.

Thursday. Give back. Host an ice-cream social, dessert bar, or catered lunch. The cost of admission is one or more canned goods for a local food pantry. The team to contribute the most canned goods wins special recognition and time off to deliver the donations.

Friday. End the week on a high note with a catered lunch, pot luck, or chili cook-off. This is the time to reflect on the special celebration the team has shared, to thank all of the people who gave their time and energy to make the week a success, and to make your final prize awards.

Five Days of Fun with a Purpose

The team at HelpMeChoose.com.au in Melbourne, Australia hosted a Customer Service Week celebration that was packed with fun activities. And with careful planning and forethought, the activities also included many important lessons on teamwork, service excellence, communication skills, and more.

  • Kick-off brunch. The week started with a kick-off brunch, which was attended by the company CEO. It was also the time for reps to form teams for group activities. To help everyone in the service center get to know each other, they were randomly assigned to teams.To do this, each beverage glass had a different colored ribbon tied around the stem. When reps grabbed a glass, they were randomly choosing their team. Each rep then received a matching lanyard and name tag to help everyone get acquainted.
  • Training day. The national training and development manager for HelpMeChoose.com.au traveled roughly 900 miles to give a presentation on Customer Service Excellence. This was also a dress up day, so a fire fighter, waitress, and others were in attendance.
  • Amazing race. Next came a fun twist on the television program Amazing Race. Local shops got involved handing out clues and acting as sites for different activities. Teams took photographs, or in this case “mug shots,” outside the police station, photographed themselves dancing like chickens outside a popular lunch spot, and more.
  • Office Olympics.The underground garage was transformed for the team’s Office Olympics. Chair races are always popular activities but the team added a vivid example of the importance of accurate communication. One team member pushed the office chair while blindfolded. Another team member sat in the chair guiding the driver through an obstacle course.
  • Closing ceremony. Finally, Friday brought a barbecue lunch and closing ceremony. The highlight of the event was a presentation on the results of the companies first annual customer satisfaction survey.

Celebration Combines Fun and Education

The Customer Service Week celebration at CMA CGM (America) combined fun and education in an ambitious five full days of festivities.

The week started with a Star Wars theme. When employees arrived at work, they were transported to the future. The elevator whisked them skyward to the sounds of a spaceship lifting off. They were also accompanied by an actor dressed as Chewbacca, the wookie warrior. The building was filled with space ship decor and the lunchroom was converted to the raucous Star Wars Cantina.

The company’s out of this world celebration also included many down to earth activities that would make a wonderful addition to virtually any Customer Service Week event.

  • Dress Up. A daily theme gave everyone the opportunity to dress up and take photos. “Selfie-stations” were located on each floor and a photo booth was in the lobby.
  • Learn. Guided tours gave employees an opportunity to visit many departments and learn about the work of all 600 plus employees at the company’s headquarters. Lunch and learn events featured speakers from within the company and outside guests.
  • Play. Teams from many departments participated in daily rounds of Family Feud. Those who did not play were encouraged to support their teams. In addition there were daily opportunities to play Taboo and Name that Tune, and to participate in relay races. All winners received tickets for a prize drawing.

Cake Decorating Highlights Communication Skills

The team at the CBK celebrated Customer Service Week with a different activity each day. This included a creative dress-up day and a skill-building cake-decorating contest.

To kick-off the week reps were asked to dress as what they wanted to be when they grew up. You can just imagine a call center filled with ballerinas and princesses, firefighters and football players.

Next the team competed in a cake-decorating contest. The staff was divided into teams of two. Each team received a sheet cake, and an assortment of frostings. They were challenged to create a theme cake for the week.

More than just a decorating contest, this was also a communication building exercise. After the reps briefly discussed how to decorate their cakes, one rep left the room while the other worked. After several minutes the reps switched places. It was up to the second rep to complete the cake based only on their conversation and the work that had already been done.

Theme Photos Create Memories

Each year, the team at Health Plan of the Upper Ohio Valley finds an opportunity to take individual and group photos during Customer Service Week.

The 2009 celebration included a “Night at the Oscars” party with dinner, goodie bags and more. The paparazzi were on hand to photograph each rep as she walked down the red carpet. Because there is only one man in the department, he individually escorted each woman and posed for a photo.

The following year, the team celebrated with a holiday theme and the lone male rep dressed as the Easter Bunny. He posed for photos with each rep and distributed plastic eggs filled with surprises after each photo was snapped.

The photos are wonderful momentos of the celebration and are sure to bring a smile for years to come.

If you don’t have an opportunity to take team photos, consider distributing disposable cameras so that you are sure to capture the fun.

Creative Team Photos

Off-site workers were included in this on-site Customer Service Week celebration through the clever use of technology.

Dairyland Healthcare Solutions started their celebration early. Goodie bags with the week’s agenda, daily puzzles, a pen, and a small treat were distributed on the Friday before Customer Service Week.

Then throughout the week, reps enjoyed a muffin morning, pie and ice cream social, a training seminar, and the return of the popular cube cram in which as many people as possible cram into one cubicle. This year the team beat their previous record of 21-1/2 with a total of 24 people. Just in case you’re wondering about that half, one of the reps was pregnant last year.

Finally, Dairyland created group photos of each of their customer service teams. Some teams include remote employees. To create the photos, one group photo was taken and then the heads of missing team members were added. Everyone received a copy of their complete team as a memento of the celebration.
